These terms and conditions protect both the travel agency and the traveler by setting clear expectations and legal obligations. Clients are encouraged to read them thoroughly before booking to avoid any misunderstandings or disputes during their trip.

1. Booking Process
Reservation: Clients must provide accurate information when making a booking. A booking is only confirmed once the agency receives full payment or a deposit. Pricing and Inclusions: The price of a package is quoted at the time of booking and typically includes accommodations, transportation, meals, excursions, and other services listed. Items not included, like visas, travel insurance, and certain personal expenses, are specified. Deposit: A non-refundable deposit may be required to confirm a booking. The amount varies by trip and destination. Final Payment: Full payment is usually required at the time of booking or 60days before departure. Failure to pay by the due date may result in cancellation.

2. Cancellation Policy
Client Cancellations: If a client wishes to cancel, they may be subject to a cancellation fee, which is typically based on a sliding scale as below. Deposits are non-refundable. More than 45 days before date of departure 40% cancellation fee, 30-45 days before date of departure 60% cancellation fee, 15-29 days before date of departure or after 100% cancellation fee. Agency Cancellations: The agency reserves the right to cancel a trip due to reasons like low enrollment, natural disasters, or unforeseen events. In such cases, the agency will provide a full refund or offer an alternative trip. Third-party Cancellations:
If the cancellation is caused by a third-party provider (airline, hotel, etc.), the agency may only offer a refund or rebooking based on the third party’s policies.

3. Changes and Modifications
Client-initiated Changes: Any changes made to a confirmed booking, such as travel dates or destinations, may incur modification fees, as well as price differences between the original and new arrangements. Agency-initiated Changes: The agency may alter itineraries, accommodation, or transport due to factors beyond its control (e.g., weather conditions, strikes). If significant changes are necessary, the client will be informed and given the option to accept the changes or request a refund.

4. Travel Documentation
Passports and Visas: It is the client’s responsibility to have a valid passport, obtain necessary visas, and meet other entry requirements for the destination country. The agency may assist but is not responsible for ensuring compliance. Health Requirements: Clients must adhere to any vaccination or health-related requirements for the destination, which will be communicated by the agency. Failure to meet these may result in denied boarding or entry.

5. Liability and Responsibility
Agency Liability: While the travel agency arranges and coordinates services, it is not responsible for acts, omissions, or errors of third-party providers (airlines, hotels, tour operators). The agency acts as an intermediary and cannot be held liable for accidents, injuries, delays, or losses incurred during travel. Force Majeure: The agency is not liable for cancellations or alterations caused by events outside of its control, such as natural disasters, war, pandemics, strikes, or other unforeseen circumstances (force majeure). Refunds may not be guaranteed in such cases. Insurance: The agency strongly advises clients to purchase travel insurance to cover cancellations, medical emergencies, lost luggage, and other unforeseen events. The agency itself is not liable for any such occurrences.

6. Refunds and Compensation
Refund Eligibility: Refunds may be offered for cancellations made within the allowed time frame or if the agency cancels the trip. However, partial refunds may apply depending on when the cancellation is made. Non-refundable Services: Some components of a trip, like flights or certain hotel reservations, may be non-refundable, and these conditions will be clearly communicated during the booking. Refund Process: Refunds are typically processed within 30-60 days, and the agency may deduct administrative fees before issuing a refund.

7. Travel Insurance
Requirement or Recommendation: Many agencies either require or strongly recommend that travelers obtain travel insurance, covering cancellation, medical emergencies, and trip interruptions. Insurance Limitations: The agency will not bear the responsibility for any issues related to the client’s failure to obtain adequate insurance.

8. Customer Obligations
Compliance with Laws: Clients must follow all laws and regulations in their destination country, including respecting customs, cultural practices, and legal requirements. Behavior: The agency reserves the right to terminate a client’s participation in a trip if they behave in a way that threatens the safety, comfort, or enjoyment of other travelers. No refund will be given in such cases.

9. Dispute Resolution
Complaints Procedure: If a client has a complaint, they should inform the agency or tour operator immediately to allow the agency to attempt to rectify the issue. Complaints not resolved during the trip should be submitted in writing within a specific time frame of 10 days after the trip ends. Governing Law: The terms and conditions will often specify the jurisdiction under which disputes are to be resolved government of India.

10. Privacy and Data Protection
Data Use: The agency will collect personal information required for bookings (passport details, contact info, etc.). The use of this data will comply with privacy laws and be shared only with necessary third parties (airlines, hotels, etc.). 11. Special Requests
Dietary Restrictions: Clients with special dietary needs must inform the agency at the time of booking. The agency will make efforts to accommodate these requests but cannot guarantee they will be met in every situation. Accessibility: Travelers with special needs or mobility issues should inform the agency in advance. While the agency will work to accommodate these requests, availability of accessible services may vary depending on the destination.

12. Promotional Use
Images and Testimonials: The agency may use photos taken during the trip for promotional purposes unless the client specifically opts out. Any testimonials provided by clients may also be used for marketing with consent.

13. Additional Services
Excursions and Optional Tours: Some optional tours or activities may be offered by third-party providers during the trip. These are not included in the base price and must be booked and paid for separately.
